PRIVACY POLICY
Victoria Longdon (Website, Mailing List, and Live Events)
Version: 2.3
Last updated: 27 February 2026

Summary

We collect the personal data you give us so we can run our website, manage our mailing list, and administer live events (including Come and Sing Days). Marketing emails are opt-in only. We do not sell your data or share attendee lists with sponsors/partners. Some events are filmed/recorded; where that’s the case, we explain how to opt out.

  2. What this policy covers
This policy explains how we collect and use personal data when you:
    a) Use our website
    b) Join our mailing list or receive communications from us
    c) Register for or attend our live events (including events delivered via third-party ticketing platforms)
    d) Contact us by email or other channels

  3. Personal data we collect
Depending on how you interact with us, we may collect the following data:

A. Website and enquiries
• Contact data you provide via forms or email (e.g., name, email address, phone number, message content)
• Technical data (e.g., IP address, device/browser information, and cookie identifiers)
• Usage data (e.g., pages viewed and how you use the site)

B. Mailing list and communications
• Name and email address (and sometimes preferences/interests if you provide them)
• Records of your opt-in/consent and communication history (e.g., when you subscribed/unsubscribed)

C. Live events (registration and attendance)
For event registrations (often via a ticketing platform such as tribalfeed.com), we may collect or receive:
• Identity and contact data: name, email address, phone number
• Participation data relevant to the event: for example voice part
• Accessibility data: accessibility needs (only if you choose to provide them)
We do not intend to collect additional personal data on-site at the venue.

  1. Special category data
If you share accessibility needs, this can sometimes include health-related information and may be “special category data” under UK GDPR. We only process this information to support your participation and we minimise what we collect and keep.

  2. How we use your data
We use personal data for the following purposes:

A. To run our website and respond to you
• Provide and secure our website
• Respond to enquiries and messages
• Maintain records of communications

B. To manage our mailing list and send updates
• Send marketing communications where you have opted in (news, updates, offers, event announcements)
• Send essential service/administrative communications (for example, if you requested information or registered interest)

C. To administer live events
• Process registrations, communicate event information, and manage attendance
• Provide reasonable adjustments for accessibility where requested
• Operate the event and manage safety and logistics
• Maintain basic records and handle complaints/disputes

  1. Lawful bases for processing (UK GDPR)
We rely on the following lawful bases:

• Contract: where you register for an event or request services from us
• Legitimate interests: to operate our website, communicate effectively, run events, and keep appropriate records (balanced against your rights)
• Consent: for marketing emails (opt-in) and (where applicable) non-essential cookies
• Legal obligation: where we must comply with UK law

Special category data (accessibility/health-related info): we treat this as consent-based and limited to what’s necessary to support your participation.

  1. Marketing and your choices
    a) Opt-in only: You will only receive marketing emails if you actively opt in. Registering for an event does not automatically add you to marketing.
    b) Unsubscribe anytime: Every marketing email includes an unsubscribe link. You can also email info@torilongdon.com to update preferences or opt out.
    c) Essential communications: If you register for an event, we may still contact you with necessary event/transactional communications even if you are not opted into marketing.

  2. Cookies
We use cookies on our website. Cookies are small files placed on your device.

a) Essential cookies help the site function (for example, security and basic functionality).
b) Non-essential cookies (for example, analytics) may be used only where you have been given a choice and have consented (where applicable).
You can control cookies through your browser settings.

(Recommended: list any analytics/marketing tools you use here, if applicable.)

  1. Who we share your data with
We do not sell your personal data.

We may share your data with trusted service providers only where necessary to operate the website, mailing list, and events, for example:
a) Ticketing/registration platform(s): e.g., trybooking.com (including their payment processor(s)
b) Email/mailing list providers such as Wix and Mailchimp
c) Website hosting and IT providers
d) Professional advisers or regulators: where required for legal, tax, or dispute reasons

We do not share attendee lists with sponsors or partners.

  1. Venue systems (e.g., CCTV)
For live events at third-party venues (for example St John’s Waterloo, London SE1 8TY), the venue may operate CCTV or security systems for its own purposes. Where the venue acts as an independent controller, its privacy notices apply.

  2. Filming and photography at events
Some events are filmed and/or recorded. Where filming/recording takes place:
    a) We will tell you (for example in event info pages or on signage at the venue).
    b) Attendance is treated as consent to being filmed/recorded.
    c) If you do not wish to appear, you must contact us in advance at info@torilongdon.com. We will take reasonable steps to accommodate requests (for example, seating guidance), but cannot guarantee you will not be captured incidentally.
    d) We may use recordings for event-related and promotional purposes (including editing and sharing on our website and social media).

  3. International transfers
We are UK-based. Some service providers may process data outside the UK. Where this happens, we expect appropriate safeguards to be used (for example, UK-approved transfer mechanisms).

  4. How long we keep your data
We keep personal data only as long as needed for the purposes above:

a) Website enquiries: typically up to 24 months after last contact
b) Mailing list: until you unsubscribe/withdraw consent
c) Event administration records: typically up to 24 months after the event (to handle queries/disputes and planning)
d) Accessibility information: kept only as long as needed to support participation and generally not beyond the event unless required for a dispute

  1. Your rights (UK GDPR / ICO)
    You have rights including:
    • Access (request a copy)
    • Rectification (correct inaccurate data)
    • Erasure (in certain circumstances)
    • Restriction of processing
    • Data portability (in certain circumstances)
    • Objection (especially to legitimate interests and direct marketing)
    • Withdraw consent (where processing is consent-based)

To exercise your rights, email info@torilongdon.com. We may need to verify your identity.

You can also complain to the Information Commissioner’s Office (ICO) if you are unhappy with how we handle your data.
